The Director carries the risk

For behaviour support practice Directors

Stop carrying the whole practice in your head.

NDPRO brings BSP deadlines, authorisation status, owners and evidence into one operational view, so you can see what needs attention and who is handling it.

The uncomfortable truth

The risk is quiet. Until it isn’t. Operational control makes it visible early.

Before it becomes your explanation

This is what NDPRO sees while the work is still moving.

A date alone is not operational control. NDPRO connects the obligation to the next action, the person responsible and the evidence needed to close it.

Interim BSPDue in 7 days

Sarah owns the next step. The supporting evidence still needs review.

Visible before it is late
Authorisation statusExpires in 21 days

The change sits beside the plan so your team can identify the risk and coordinate early.

Owned through resolution

Illustrative operating view

One exception, from the first warning to a resolved record.

The exception stays visible until the underlying record has been updated.

The approaching date appears in the Director view.

AssignedSarah opens the item

The next action is visible to the practitioner responsible.

RecordedAction and evidence are added

The work is connected to the relevant operating record.

ResolvedThe Director sees confirmation

The exception clears when the underlying record is complete.

What operational control feels like

Less chasing. More certainty about what is handled.

Ahead

Fewer surprises waiting in the week ahead.

BSP milestones, authorisation dates and worker credentials are organised by urgency, so approaching work is visible before it becomes a last minute investigation.

Owned

Oversee the work without becoming the reminder system.

Each exception stays connected to the practitioner or supervisor responsible for reviewing it. You keep oversight while the next action remains visible to the person who owns it.

Ready

When someone asks, the story is already there.

Dates, files, confirmations and decisions stay together as the work happens. Audit preparation becomes a review of an existing trail, not a scramble through inboxes, folders and memory.

Practice case study

Built alongside the reality of a behaviour support practice.

“With NDPRO, we can see what needs attention, who owns the next step and what is already handled without chasing updates across the team. That visibility takes pressure off the day to day and gives us a calmer, more confident way to run the practice.”

Three dates that do not wait for audit week

The risk is quiet until somebody asks for the record.

A genuine oversight does not stay small because nobody intended it. Once the date has passed, the Director needs to establish what happened, whether work continued, who acted and what evidence exists.

Plan clock
and lodgement

What the team may say

“The practitioner is still finishing it.” The spreadsheet still says in progress. Nobody has joined the engagement date, development clock and lodgement record.

What needs visibility and coordination

For behaviour support plans containing a regulated restrictive practice, the applicable development and lodgement duties depend on the provider’s role and the trigger. A specialist behaviour support provider engaged to develop the plan must develop an interim plan within one month and a comprehensive plan within six months of engagement. A plan containing a regulated restrictive practice must be lodged with the NDIS Commission as soon as practicable after development.

Authorisation
expired

What the team may say

“The BSP is still current.” Staff keep following the plan. The date that changed was the State or Territory authorisation.

What needs visibility and coordination

If a required State or Territory authorisation is no longer valid, verify the local authorisation rules before any further use. Assess whether any use was unauthorised and whether it is reportable. The NDIS Commission states that unauthorised restrictive-practice use is generally notified within five business days of awareness when no harm resulted; where harm resulted, notification is due within 24 hours.

Worker screening
expired

What the team may say

“The renewal email went to the worker.” The roster was already published. The shift may already have been worked.

What needs visibility and coordination

For a registered NDIS provider, remove a worker with an expired NDIS Worker Screening Check from risk-assessed roles immediately. Continued work during a renewal is possible only where the issuing jurisdiction’s work-on-application conditions were met before expiry, including the required application, employer verification, supervision and risk-management arrangements.

The other bill: finding everything late

The auditor’s invoice is one line. The reconstruction is the cost you can control.

200+ HRS

One allied health provider reported at least 200 senior management hours, plus about 20 hours each from two clinical leaders, preparing for a mid term audit.

The submission documents the effort spent preparing, reviewing and updating policies, along with updating staff knowledge. NDPRO’s aim is different: keep operational evidence visible as work happens, so preparation can begin from a current record.

This is a documented provider submission in the NDIA’s 2021 to 2022 pricing consultation, not an industry average or an NDPRO savings claim.

What operational control feels like

Don’t let compliance become a second job.

Your team does the work once. The record grows with it: dates, exceptions, owners and evidence stay visible without the Director rebuilding the story later. Clinical and regulatory judgement stays with your practice.

Fewer surprises waiting in the week ahead.

BSP milestones, authorisation dates and worker credentials are organised by urgency, so approaching work is visible before it becomes a last minute investigation.

Integration is possible

Add the risk layer. Keep the systems that already run the practice.

NDPRO is not a billing CRM and does not force a rip and replace project. It works on its own or beside your existing system.

Splose→

Optional one way, read only connection. NDPRO can read supported practice information without writing back.

Another CRM→

Potentially possible. We assess the CRM’s API and scope the connection; this is not a universal connector claim.

No connection→

NDPRO runs standalone. Pathway, RP register, credentials, capability and supervision do not depend on another platform.

08 · Your data

Your participants’ data stays in Australia, and it stays yours.

Your practice remains in control of its participant information. Adding NDPRO means adding us to your own obligations, so here is exactly how it is held.

What is in place

Hosted in Sydney, Australia, and never sent overseas

Encrypted at rest and in transit

Isolation enforced twice, in the application and inside the database itself

Multi factor authentication on every account

No participant ID ever appears in a URL, so a pasted link is inert outside your practice

Sensitive actions record who did what before the action completes

12 · Questions

Frequently asked

Do we need Splose, or any other CRM, to use NDPRO?
No. NDPRO runs on its own and the pathway, restrictive practice register, credentials, capability and supervision do not depend on another system. Splose is an integration, not a requirement. If you use it, NDPRO can read supported practice information without writing back.
Why do we need NDPRO if we already use Splose or another CRM?
Splose or another CRM remains the clinical and administrative system for calendar, billing, intake and notes. NDPRO is the operational layer for BSP deadlines, restrictive-practice and authorisation status, ownership, credentials, supervision and audit evidence. It complements your CRM rather than replacing it.
How long until we are live?
If you use Splose, your data can be connected and flowing on the first day of setup. If you do not, there is nothing to migrate and the first day looks the same.
We use Splose. Do we have to leave it?
No, and you should not. Splose stays the source of truth for your calendar, billing, intake forms, service agreements and progress notes. NDPRO reads from it and never writes back.
Will my practitioners actually use it?
That is the right question. NDPRO has to be worth opening: capability progression is visible, CPD can build from work already recorded and credential renewals can be uploaded from a phone. Ask us to demo the practitioner’s screen first.
What happens to our data if NDPRO goes away?
It stays in Australia, you can export every record at any time and defined release events are covered in the agreement. It is in the agreement, not just a promise.
