How NDPRO uses and protects information when you connect Google Drive.
Who provides the integration
NDPRO Resource Library is provided by Santos Technology Pty Ltd (ACN 697 662 669, ABN 12 697 662 669). Contact us at contact@santostech.com.au about access, correction, deletion or privacy concerns involving this integration.
What you authorise
Connecting Google Drive is optional. An authorised clinic curator connects a Google account and selects files using Google Picker. NDPRO requests Google's drive.file permission for files selected for the application. This permission can allow creating and modifying selected files; NDPRO's integration uses it to read selected files and export Google Docs as PDFs. It does not edit or delete your Google originals or request access to your entire Drive.
Information used and stored
NDPRO processes the authorisation response and stores an encrypted connection credential so the clinic can prepare later versions without signing in to Google each time. Access credentials are used to communicate with Google and to operate the file picker.
For a selected file, NDPRO reads its identifier, name, type, version and availability/download permissions. When a curator prepares a copy, NDPRO downloads a PDF or exports a Google Doc to PDF. NDPRO stores the selected source reference, preparation and version information, PDF copies, and records of relevant actions and reading confirmations within the clinic's Resource Library.
How files become available to your clinic
A prepared copy must be explicitly published by an authorised curator. Published PDFs are available to the audience selected in NDPRO. Those readers do not need a Google account or access to the Google original. Check the NDPRO audience before publication: Google sharing permissions are not copied to the published PDF.
NDPRO periodically checks selected sources for changes or lost access. Changes do not automatically publish a new version. Access problems can trigger a general notification to the clinic's Director through NDPRO's notification system.
Providers and protection
Google processes authorisation, file selection and requests for selected files under its own terms and privacy policy. Google may process information on infrastructure outside Australia. NDPRO stores its clinic database and document copies in its configured Australian hosting infrastructure. Connection credentials are encrypted, and clinic access is governed by authenticated roles and tenant isolation. Our hosting and operational providers process information to operate and protect the service.
Google-derived file content is used to provide this Resource Library integration. It is not sold, used for advertising, or used to train general-purpose artificial intelligence models. NDPRO's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
Disconnecting, retention and deletion
You can disconnect the integration in NDPRO and revoke the application's access from your Google Account's third-party connections. Revoking Google access prevents future authorised access to the source. Disconnecting or revoking access does not remove PDF copies already published to NDPRO.
Published copies, version history and audit records are retained under the clinic's agreement and retention instructions. Unpublished copies discarded in NDPRO are queued for cleanup. Backup copies follow the applicable backup retention process; they are not erased immediately when a live item is removed. To request deletion of connection data or retained NDPRO copies, contact your clinic administrator or contact@santostech.com.au. We will identify the relevant records and applicable retention obligations with the clinic before carrying out the request.
Changes
We will update this notice when the integration's handling of Google data changes. The public version will show its publication or update date.
